Today I had a request form Heather in Seattle, WA and she is interested in obtaining a quote/estimate for Embossed Business Cards with blind embossed logos and 2 colors for names and company information. There are two people that require a set of cards each.

I receive quite a few request everyday and first need to break down a client’s request in terms that can be understood so we have a clear basis for estimatiing the true costs of a project. So, here are the most important specifications required by any embosser before they can provide an up-front, honest quote that will never change.

Here are the 7 Main Components to any Printing/ Engraving Quotation

1. STOCK: What type of paper do you want to use?
2. INK(S): How many ink colors? Raised or flat
3. ENGRAVING: Embossing or foil stamping.
4. SIZE: What is the size of the project. E.g. a business card is 2 x 3 1/2″
5. BLEED: Do any of the elements run off the sheet edges?
6. QTY: What is the total quantity you wish to produce
7. DIEMAKING: What is the type of die required? There are several types of dies that can be used. The least expensive is a magnesium based die

Let me Breakdown Embossing and Printing Prices

PAPER STOCK

There are many options available with engraving but you want to make sure that the paper you select with tolerate the desired effect. If you are using a sculptured die that has many high levels of embossing, debossing or foil stamping then certain papers will work better than others. When you apply embossing effects you are stressing the paper used. Some papers are made to tolerate extreme stresses while others have a much shorter breaking point (they will rip and tear at some point). You are best to ask the engraver for a suggestion based on your unique project.

RAISED OR FLAT INK(S)

The most critical part of the combination of ink and engraving is registration. What is registration? Registration is a term that all printers and engravers can identify with. It means that colors ink colors and engraving (or any other printing/ finishing operation touch or need to align with each other). The general references used by printers include tight registration (colors are close or touching) or loose registration (colors and engraving do not touch and are not close together).

ENGRAVING TYPES FOILING OR EMBOSSING

Describe Engraving operations required. E.g. Embossing or foil stamping. For Foiling area is also important because foil is charged out based on consumption per square inch.

SIZE OF FINISHED PROJECT

Provide the finished trim size such as 2 X 3 1/2″ (standard business card size)

BLEEDING GRAPHICS

This is a term that describes the engraved and/ or printed image exceeding the edge of the sheet.

DESIRED QUANTITY

The total quantity required. For business cards you can describe them like 500 X 2 names. Which means you want to order 500 business cards for 2 different people with the same graphic identity. A word of advice with business cards…group them together at the same time to take advantage of group pricing.

THE ART OF DIEMAKING

This is an area that can be really expensive or very cost efficient. Think about the intended use of the die. Will it be ongoing? You see when you have a die made the cheapest way is by using a magnesium based die but they only stand up for 5-10/k impressions then you need to make another. On the other hand a sculptured or brass die can last for 50,000-100,000 impressions depending on the letterpress pressure required for each impression.

Once these questions are clearly answered an engraving company can be 100% accurate with a quote. There will not be that dreaded message, “The price of your engraving project is going to cost an additional $XXX.00 because you did not tell us that the XXX was XXXX.” Reputable engravers hate contacting a client back and boosting the price, but sometimes descriptions are not well defined and the result is an upcharge. Embossing and engraving is and art that cannot be short-cut or you will see it in the finished project. If it is the cheapest price you want for your uniquely printed masterpiece, then I am sorry engraving and/or embossing is not for you. Perhaps a standard four color business card is the best way to go?

The following document setting or page setting must be adhered to for us to be able to properly process your files. If your order is for a custom sized item, the document size should be set to the size of the finished product. If there are any bleeds on the document, the dimensions and the outer margins must be increased by .125″ on all sides.

Business Cards:

For cards with no bleeds the document dimensions must be 2″ x 3.5″. WITH Bleeds: 2.125″ x 3.625″

Letterheads:

For letterheads with no bleeds the document dimensions must be 8.5″ x 11″. WITH Bleeds: 8.625″ x 11.125″

Envelopes:

For envelopes with no bleeds the document dimensions must be 4.125″ x 9.5″. WITH Bleeds: 4.25″ x 9.625″

Font Specifications - Macintosh

1. Select a font from the font menu - Do not use style options or buttons from the menu bar (ie: Bold, Italic, Outline or Shadow) as they may result in incorrect output.
2. Use PostScript Type 1 fonts only - Do not use True Type fonts whenever possible.
3. Screen and Printer Fonts - Please take a moment to check all your files for necessary fonts. Both the suitcase and postscript font files for all fonts used must be included. Make sure you remember to collect the suitcase and postscript font files for all fonts used in any imported graphics. We do not keep the fonts you send. You must re-send fonts with every order.

Rule Specifications:

Define rules by their measurements - Rather than indicate a hairline rule, specify a .5pt rule.
Trapping
For all colours that are touching, a trap must be applied. Use one of the following values for the trap:
2 pixels OR 0.5 points OR 1/64″
Graphics
1. For solid images (line art), the graphic should be no less than 600 dpi, saved in a TIFF format.
2. For photo scans, all files should be scanned in at a resolution of 300 DPI. Scan photos at the final size you will be using it.
3. All graphics should be placed in the layout program at between 80% and 120%.
4. All graphics should be rotated in the original program (the scanning program) and NOT in the layout program applications. This can cause the file not to RIP properly.
MAC - QuarkXPress & Pagemaker
1. a) Place fonts in a folder called “FONTS”
b) Place alL graphics used in a folder called “GRAPHICS” c) Place the document(s) in a folder called “DOCUMENTS” d) Place all 3 folders into a new folder and give the folder a job name. (ie: “Chamois Car Wash”)
e) Make a .sit file using Drop Stuff. (Go to http://www.tucows.com and under Macintosh software, search for “Drop Stuff” and download to you Mac. Then simply drag the final folder onto the icon to create your .sit file)
PC - QuarkXPress
1. When selecting fonts, you must use only fonts listed in the back of our Commercial album. If you are using fonts not listed in our album, outlines must be created in an illustration program before pLacing into your QuarkXPress document.

2. We recommend that you submit black and white bitmap images and grayscale images at 300 dpi for standard spot colour printing. Images that come at lower resolutions than what is recommended will be output as sent. We cannot raise the resolution here.
3. All files need to be submitted at the size being used for printing.
Mac or PC - Adobe Illustrator
1. Change all text into “outlines” in your document.
2. If you are using an imported graphic in your Illustrator document, be sure to include the original graphic file.
3. Save the file as an Illustrator .eps, selecting version 11.0 or lower when given the option.
4. We will however accept the native file, if need be, as long as you include all fonts and graphics.
PC - Corel Draw
1. Always export your files according to the following specifications and be sure to include your supporting graphics when sending to us.
2. Export the file as an .eps with text to curves option to eliminate font information from your file.
3. We wiLl however accept the native file, if need be, as long as you include all fonts and graphics.
FINALLY… Please note:
1. Place a border indicating the outer edge of your item however, make the width the stroke 0.
2. Do not draw crop marks or lines indicating scoring, folding or cutting.
3. Do not include and instructions for printing on the file itself. These should be noted your order form, or on the FTP site under Special Instructions.
4. Please make a separate document for each order placed. (EXAMPLE: If you are ordering 3 business cards, make 3 separate documents. Some applications allow various sizes of documents within one document. Please use separate documents for each individual item.)
5. When sending signatures to scan. Please use a black felt tip pen instead of a ball point pen.

Let me begin by saying we can emboss on any paper substrait. There are certain premium papers that we have decided to purchase in bulk and offer as standard materials.

NOTE: These are high resolution images and may take a little longer to download.

All prices are based on artwork supplied. If dies are required black and white line art is needed. The price to make a standard magnesium die is $74 for the first square inch and $5 for every additional square inch.

In each case above you will notice 3 prices.

How is Embossing Produced?
